How we respect privacy when we deal with personal information collected by our organisation

This Privacy Policy applies to information we – DAWS – collect about individuals who interact with our organisation. It explains:

  1. Personal data that we process

    The following explains the types of data we collect and the legal basis, under current data protection legislation, on which this data is processed.


    Purpose:
    You are making a general enquiry


    Data: Name, email address and message.


    Legal Basis: Consent – you have given active consent.


    How we store your information: Stored in the enquiries mailbox. Emails are deleted annually.

    Purpose: You are sending us a message either directly (private message) or via social media

    Data: Name, message, social media username.


    Legal Basis: Consent – you have given active consent.


    How we store your information: Information is stored on the social media platform via the application you have contact us via. All social media accounts require a username and password.

    Purpose: You are enquiring to book training or to attend a course / event

    Data: Name, email address, job title & employer.


    Legal Basis: Consent – you have given active consent.


    How we store your information: This information is stored in a web-based filing system.

    Purpose: You are completing a feedback form or survey with us

    Data: Demographic data, all other survey information is anonymous unless you wish to leave contact information.


    Legal Basis: Consent – you have given active consent.


    How we store your information: Information is stored on the survey platform e.g. Microsoft forms and is in a secure location maintained by DAWS.

  2. How we use your data

    We will only use your data in a way that is appropriate considering the basis on which it was collected. We may use your personal information for the following:

    • Reply to enquiries you have sent to us.

    • To gain an understanding what services and training you are interested in.

    • To further develop our service via feedback forms.

  3. When we share your data

    In some instances, we may approach you for written consent to allow us to use your personal information. If we do so we would outline the purpose for this and how we will use your information. You do not need to consent to this if you do not wish to and consent can be withdrawn at any time. There are no consequences to you if you do not wish for your data to be shared.

    DAWS will only use your information for the purpose which we collected it or if that reason is compatible with the original purpose for which it was collected. For example, we may request permission to use a testimonial which support the positive experience you have had with our service.

    DAWS may share your information with third parties where it is required by law or where it is necessary to administer a contract with you. Your information may be shared internally for the purpose of the delivery of services you have commissioned.

  4. How long we retain your data

    DAWS is committed to the principles of data minimisation and is committed to only ask for the minimum amount of data required to deliver a service. All data is deleted once it is no longer required. Where data is collected on the basis of consent we will review its retention every three years. This does not affect your own ability to remove consent for information held.

    We will only retain information for as long as we are required to maintain records for legal and accounting purposes. Generally, this will be for a period of seven years.

  5. Rights you have over your data / information

    Under GDPR your rights are outlined as follows:

    Right of access, you have the right to ask for a copy of your personal information and all subject access request. Requests are ideally made in writing but can be verbally given and we are required to respond to you within 30 days unless it is not reasonably feasible to do so.

    Right to rectification, if some information we hold about you is wrong or has changed, you have the right to have it corrected or updated.

    Right to erasure, in certain circumstances, if the personal data we hold about you is no longer needed, you have the right to have it deleted. This is also known as the ‘right to be forgotten’.

    Right to restriction of processing, you have the right to ask us to restrict the processing of your personal information in certain circumstances.

    Right to object to processing, you have the right to object to the processing of your personal information in certain circumstances.

    Right to data portability, you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

    If you make a request DAWS will respond to you within 30 days.

    If you have any concerns about your use of your personal information you can make a complaint via the contact details at the head of this policy.

    You can also complain to the ICO if you are unhappy with how we have used your data.
